Middlebrook School is seeking an executive secretary. 12 month position.
TITLE: EXECUTIVE SECRETARY-MIDDLEBROOK SCHOOL
PREFERRED QUALIFICATIONS:
- High School diploma
- Post secondary training/education in related area of one year secretarial experience
- Three years secretarial experience
- Demonstrated skills in public relations, interpersonal relations, strong word-processing, leadership/decision-making and other computer capabilities; excellent typing and other secretarial skills
- Well organized
- Understanding of scheduling and bookkeeping
- Such additions and alternatives to above qualifications as may be appropriate and acceptable
REPORTS TO: Principal
SUPERVISES: School secretaries, campus supervisors, educational technicians, instructional aides as required by the specific position
PERFORMANCE RESPONSIBILITIES:
- Assign duties to and supervises the work of the school secretaries and aides as required to include maintaining a daily staff attendance log and concomitant records for substitute teachers, adhering to visitors procedures, processing mail and telephone messages, securing and storing supplies, mailing of schedules, interns, report cards, and special notes.
- Obtain, gather, and organize pertinent data as needed, and format it into useable forms and reports.
- Perform any bookkeeping tasks associated with the specific position, including maintenance of the activity funds; balance to monthly statements and submit to District Finance Office.
- Assist with budget preparation as needed.
- Maintain a calendar of appointments and make arrangements for conferences, interviews, and parent meetings.
- Maintain a regular filing system, as well as locked confidential files, process incoming correspondence as instructed.
- Take and transcribe dictation of various types, including correspondence, reports, notices, and recommendations.
- Welcome visitors and screen unexpected callers in accordance with predetermined policy.
- Facilitate creation and dissemination of pertinent information to staff.
- Facilitate appropriate year-end ceremonies for grades 6, 7, and 8 including creating awards and programs.
- Facilitate Soaring Ahead Ceremony for grade 8 students.
- Maintain the same high level of ethical behavior and confidentiality of information about students as expected of certified teachers.
- Accept other responsibilities as assigned by appropriate administrator.
TERMS OF EMPLOYEMENT: Twelve month year
EVALUATION: Performance of this job will be evaluated annually in accordance with the collective bargaining agreement between the Wilton Board of Education is WAESCA
